Synder connects Toast POS to QuickBooks Online and posts every daily payout with sales, tips, fees, refunds, and sales tax on separate lines, so your books stay accurate and easy to verify.
Secure connection through Toast's API – Synder never changes your orders, menus, or payments.
Synder serves 5,000+ businesses and 200+ accounting firms
Enter your Toast Client ID and Client Secret, then pick your locations. One set of credentials covers your whole restaurant group.
Choose the QuickBooks Online accounts for sales, sales tax, processing fees, and deposits. Set Smart Rules once, and every future sync follows them.
Synder books Toast sales to a clearing account and clears it with each deposit, so QuickBooks Online matches your bank statement.
What Data Syncs from Toast to QuickBooks Online
–each item keeps its Toast sales category name
–kept on their own lines, separate from sales
–split out of each deposit and booked as an expense
–sales tax by Toast tax rate, posted to your sales tax liability account
–item and check discounts recorded, voided checks reversed
–cash, card, gift card, and other tenders
–synced automatically, so returns never inflate your sales.
Synder posts every Toast check to QuickBooks Online automatically – items, sales categories, payment types, tips, and discounts included. Each business day syncs once it closes, so your books match Toast's sales reports and nobody keys in end-of-day totals. Edited checks are corrected and voided checks reversed.
Choose Per Transaction mode (every check as a sales receipt) or Summary Sync mode (one entry per day per location).
Toast deposits arrive as one lump sum, already reduced by processing fees, refunds, and withholdings like Toast Capital repayments. Synder breaks each one apart: sales with sales tax, tips and gratuity on their own lines, plus fees, refunds, and withholdings booked separately. Any difference Toast doesn't explain goes to a deposit adjustment, so the payout still matches.
Using Toast's Payout Reporting by Payments and by Settled Date, Synder posts sales to a Toast clearing account and moves each net deposit to your bank. Chargebacks and other differences go to a deposit adjustment, so the clearing account always zeroes out.
Synder keeps your Toast deposits easy to reconcile in QuickBooks Online. Sales, fees, and refunds are recorded through a clearing account, so each payout matches what reaches your bank. Transaction Reconciliation then checks your synced data line by line and flags any discrepancies, and Balance Reconciliation confirms your clearing account balance adds up for the period. Month-end becomes a quick check instead of a rebuild.
If Toast revises a deposit after it's booked, Synder posts a correction, so your books keep matching Toast's settlement reports.
Synder books sales tax on every Toast check using the tax rates set up in Toast, so items taxed at different rates, such as prepared food or alcohol, keep the rate Toast charged. Tax posts to your sales tax liability account, and marketplace facilitator tax is kept apart as a pass-through.
Tips and gratuity land on their own lines, separate from sales, and refunded tips are reversed together with their refund.
Synder reads your Toast setup – sales categories, tax rates, discounts, and service charges – so every line in QuickBooks Online carries the names your team already uses. Each item posts with its Toast sales category, and Smart Rules route those sales to the income accounts and GL codes your bookkeeper expects. Set a rule once, and every future sync follows it.
Gift card sales and reloads post to a gift card liability, redemptions are recorded as a payment type, and service charges, including gratuity, appear as their own lines.
Synder pulls past Toast sales into QuickBooks Online for the date range you choose, so you can catch up on earlier months before going live. Restaurants that just switched to Toast can import everything back to their first day on Toast.
Reconcile last month's Toast sales – see the results before you commit
Example: the Toast payout matched to the QuickBooks bank deposit of $5,563.63, with the Toast clearing account balanced at $0.00.
"We’re saving real time with Synder. Instead of 3 or 4 hours, I now dedicate around 30–45 minutes to the task of reconciling transactions and making sure everything is perfect in our books. That’s over 70 hours saved each month, which I can now dedicate to more strategic parts of my role. The team is thrilled with the time savings and the clarity Synder provides."

"You have no idea how much easier Synder has made our lives. Before, we had a whole bunch of spreadsheets running with macros built in just to get the data formatted correctly before we could even import it into QuickBooks. Synder eliminated all of that. The orders come out of Shopify, pass through Synder, and land in QuickBooks clean, every time. I'd say it's saved us at least 3 hours a day. We are huge fans."

Toast integrates with QuickBooks Online through Synder, which syncs every Toast check and deposit – sales, tax, tips, discounts, processing fees, refunds, and voids – into your chart of accounts automatically. There's no manual entry and no CSV exports, and Synder connects through read-only Toast API access.
Connecting Toast to QuickBooks Online through Synder takes three steps and about ten minutes, with no developer or IT help: connect Toast, connect QuickBooks Online, and map your accounts. Toast gives you one Client ID and Client Secret, Synder loads all your locations, and you connect each location with the same credentials. Full instructions are in the Toast connection guide.
Synder imports historical Toast data into QuickBooks Online for any date range and books it the same way as your live data, whether the books are three months or a full year behind.
Restaurants can switch to Synder from xtraCHEF, Shogo, Bookkeep, MarginEdge, or manual CSV exports, and Synder imports historical Toast data during setup. The key differences are per-transaction detail as well as daily summaries, fees and tips on separate lines, support for 30+ platforms beyond Toast, and a firm-level dashboard for accountants managing multiple clients.
Synder records Toast tips and gratuity on their own lines, separate from sales, and reverses refunded tips together with their refund.
Synder breaks each Toast deposit into card sales (with their sales tax, tips, and gratuity), processing fees, refunds, and withholdings such as Toast Capital repayments, and books each one separately. The net deposit then moves to your bank account in QuickBooks Online for exactly the amount on your bank statement.
Synder books sales tax on every Toast check using the tax rates set up in Toast, so prepared food, packaged goods, alcohol, and non-taxable items each keep the rate Toast charged. Synder posts tax to your sales tax liability account, and keeps marketplace facilitator tax separate as a pass-through.
Synder posts Toast card sales to a Toast clearing account, then moves each net deposit from that account to your bank account on its settled date. Processing fees, refunds, and withholdings are booked against the same deposit, and anything Toast leaves unexplained, such as a chargeback, goes to a deposit adjustment, so the clearing account comes back to zero.
Synder books every Toast deposit for exactly the amount that reaches your bank, with processing fees, refunds, and withholdings already broken out. When the deposit shows up in your QuickBooks Online bank feed, it matches the booked transfer to the penny, so reconciling it takes one click instead of a rebuild.
Synder supports multiple Toast locations in one QuickBooks Online file. Each location connects with the same Client ID and Client Secret, and Smart Rules can tag each location's sales with a QuickBooks Online class or location, so you can run per-location and consolidated P&L reports.
Synder keeps every channel next to Toast in one QuickBooks Online file: online payments through Stripe or PayPal, a second POS like Square or Clover, and your Shopify store, with 30+ platforms supported. DoorDash, Uber Eats, and Grubhub don't have direct Synder integrations yet, so their payouts stay in your current process while everything else syncs automatically.
