This guide explains Shopify’s POS orders, manual orders, and Other order types—including their refunds—and how Synder handles them in accounting platforms. It clarifies why these orders do not appear in Shopify payouts and why they require a separate clearing account.
Does not cover: creating orders, processing refunds, or reconciling online sales payouts.
What These Transaction Types Are
- POS Orders
- Any sale made through Shopify’s Point of Sale (POS) system.
- Example: in-person sales at a physical store.
- Manual Orders
- Orders created manually by a merchant within Shopify (not placed by a customer online).
- Example: a customer calls in an order, and the merchant enters it directly in Shopify.
- Other Orders
- Shopify orders paid via third-party gateways (outside Shopify Payments).
- Example: an online order paid through PayPal, Stripe, or another external payment processor.
Key Accounting Considerations
- Excluded from Shopify Payouts
- POS, manual, and other orders and their refunds are not included in Shopify payouts.
- Since Synder uses payouts to reconcile online sales clearing accounts, you must separate these transactions to maintain accurate balances.
- Separate Clearing Account Required
- Each of these transaction types should have a dedicated clearing account.
- This ensures online sales clearing accounts remain accurate and reconciled via payouts.
- Do not use the online sales clearing account for these orders.
- Default Settings in Synder for Shopify
- Synder provides pre-configured additional settings for POS, manual, and other order types.
- These settings automatically assign these transactions to their own clearing accounts.
- Changes made on the default tab do not affect these transaction types.
- To update their settings, use the Additional Settings tab specific to each transaction type.

- Impact of Removing Additional Settings
- Deactivating these additional settings will stop syncing of POS, manual, and other orders, which may cause accounting discrepancies.
- Keeping these settings active ensures transactions are always handled correctly.
Summary Table
| Transaction Type | Description | Included in Shopify Payout? | Clearing Account |
| POS Orders | Sales via Shopify POS | No | Separate POS Clearing Account |
| Manual Orders | Merchant-created orders | No | Separate Manual Orders Clearing Account |
| Other Orders | Paid via third-party gateways | No | Separate Other Orders Clearing Account |
| Refunds (POS/Manual/Other) | Refunds for above types | No | Same as associated clearing account |
| Online Sales and Refunds | Standard Shopify Payments orders | Yes | Online Sales Clearing Account |
Why This Matters
- Online sales rely on payouts for clearing account reconciliation.
- POS, manual, and other orders do not use payouts, so mixing them with online sales could cause incorrect balances.
- Separate clearing accounts allow for accurate bookkeeping and smooth reconciliation.
