This guide is Per-Transaction-only so that every topic can be explained the way it actually works when each order and refund posts individually, with a link to the specific deep-dive guide for each step.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"who-this-guide-is-for-d9600adf-55fc-4128-a202-0af132005a69\">Who this guide is for<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You sell on <strong>two or more channels<\/strong> (any mix of marketplaces, ecommerce stores, and payment processors).<\/li>\n\n\n\n<li>You want <strong>every order, fee, and refund recorded individually<\/strong> \u2014 for detailed reporting, itemized revenue, or inventory\/COGS tracking.<\/li>\n\n\n\n<li>You are using \u2014 or plan to use \u2014 Synder&#8217;s <strong>Per-Transaction Sync<\/strong>, which posts one entry per transaction and then reconciles them to each payout.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"first-what-a-clearing-account-is-9742e245-1dc5-45ca-9426-79b52ac732bf\">First, what a clearing account is<\/h2>\n\n\n\n<p>A <strong>clearing account<\/strong> (also called a <em>funds-in-transit<\/em> account) is a temporary holding account that sits between your sales and your bank. When a customer pays, the money does not land in your checking account instantly \u2014 the channel holds it, subtracts its fees, and pays you out later as a lump-sum <strong>payout<\/strong>. The clearing account is where Synder parks that money in the meantime.<\/p>\n\n\n\n<p>Think of it as a waiting room for your money:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>As each order posts, Synder records revenue, taxes, and fees, and the net amount owed to you goes <strong>into<\/strong> the clearing account.<\/li>\n\n\n\n<li>When the channel deposits the payout into your bank, Synder moves that same total <strong>out<\/strong> of the clearing account.<\/li>\n\n\n\n<li>When everything is set up correctly, the clearing account should return to <strong>zero<\/strong> once a payout is fully reconciled. Whether the money comes from a marketplace, a hosted store, or a standalone payment processor, Synder treats each connected channel as its own data source with its own clearing account and its own payout cycle. In Per-Transaction Sync, Synder posts <strong>a separate entry for every sale, fee, and refund<\/strong>, then groups those entries under each payout for reconciliation \u2014 giving you itemized, transaction-level detail that is ideal for product-level revenue, inventory, and COGS<\/p>\n\n\n\n<p>Connect <strong>each sales channel as its own integration<\/strong> \u2014 every channel gets its own settings, clearing account, and payout cycle.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"the-ecommerce-flow-smart-reconciliation-fe32eefa-c626-4a21-8ee7-eda2445a8fc3\">The ecommerce flow: Smart Reconciliation<\/h3>\n\n\n\n<p><strong>Smart Reconciliation<\/strong> is Synder&#8217;s ecommerce flow. It solves a specific multi-channel problem: a payment processor tells you an <em>amount<\/em> was charged, but not <em>what was sold<\/em>. <\/p>\n\n\n\n<p>This feature connects each payment with its matching order from your online store and <strong>enriches the transaction with the full order details<\/strong> \u2014 products, taxes, shipping, discounts, and customer information \u2014 instead of syncing only a payment amount and date.<\/p>\n\n\n\n<p>Take Shopify + Stripe as an example. Shopify orders that are paid via Stripe <strong>come into Synder as Stripe transactions<\/strong>, using your Stripe integration settings. Each of those transactions is then <strong>enriched with the matching Shopify order data<\/strong> to provide correct line-item and discount information, and this enriched transaction is what gets posted to your accounting software \u2014 one order, one entry, with the real product detail attached.<\/p>\n\n\n\n<p><em>This same store-and-gateway enrichment also happens in <strong>Summary Sync<\/strong>, just in a different shape \u2014 there it surfaces as an &#8220;ecommerce&#8221; mapping line on the processor rather than per-order matching. See the Summary Sync guide for that version.<\/em><\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Turning it on and what it covers<\/h4>\n\n\n\n<p>Before you rely on it, therefore, keep a few things in mind:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>It is included in standard Synder functionality and covers ecommerce platforms such as <strong>Shopify, WooCommerce, BigCommerce, eBay, Ecwid, Wix, and Squarespace<\/strong>, each with specific supported payment processors and matching rules.<\/li>\n\n\n\n<li>You control it under <strong>Settings \u2192 E-commerce flow settings<\/strong>, where each platform-and-processor combination has its own toggle. Disable a combination and Synder syncs only payment-level data for that pair. Give each sales channel its own clearing account<\/h3>\n\n\n\n<p><strong>How it is done:<\/strong> Connect each sales channel as its own integration and assign each one a <strong>separate clearing account<\/strong> \u2014 for example &#8220;Amazon Clearing,&#8221; &#8220;Shopify Payments Clearing,&#8221; &#8220;PayPal Clearing.&#8221; Synder posts each channel&#8217;s transactions into its own clearing account and reconciles each payout against that same account. Classification and categorization<\/h3>\n\n\n\n<p><strong>How it is done:<\/strong> In Per-Transaction Sync there are <strong>two ways<\/strong> to get revenue and expenses onto the right accounts, and they work together.<\/p>\n\n\n\n<p><strong>1. Automatic income categorization by product match.<\/strong> Synder matches the products on each order to the products in your accounting software. When a product matches, Synder uses the <strong>income account already assigned to that product<\/strong> in your books \u2014 so income lands in the right account automatically, with no rule to build. Keep your product list and its income-account mapping tidy in your accounting software and most of your revenue categorizes itself. Smart Rules, when automatic matching isn\u2019t enough.<\/strong> When you need to go beyond the product\u2019s income account \u2014 apply a <strong>Class<\/strong>, a <strong>Location<\/strong>, or a different <strong>Category<\/strong> based on the channel, product, or customer \u2014 use <strong>Smart Rules<\/strong>. A rule reads each incoming transaction and applies the label automatically, with no manual tagging. Because Smart Reconciliation enriches each transaction with product and customer detail, your rules have rich data to key off. Taxes<\/h3>\n\n\n\n<p><strong>How it is done:<\/strong> Synder does not calculate tax \u2014 it records the tax your channel sends, and in Per-Transaction mode the <strong>Apply Taxes<\/strong> setting (Settings \u2192 [Integration] \u2192 Taxes) controls how: ON posts it to the transaction&#8217;s dedicated tax field so it flows into tax reporting; OFF posts it as a plain line item. Two multi-channel specifics:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Who collected the tax.<\/strong> Marketplaces (Amazon, eBay, Etsy) act as <em>facilitators<\/em> and remit tax for you, so it should not post as a liability you owe; tax you collect directly is yours. If sales come in several currencies but the <strong>payout arrives in one currency<\/strong>, a single clearing account is fine and Synder adds a converting entry to bring the foreign activity into your payout currency.
