See <a href=\"https:\/\/synder.com\/help\/synder-summaries-and-cogs-tracking\/\"><strong>COGS Tracking with Synder Summary Sync \u2192<\/strong><\/a><\/p>\n<\/div><\/div>\n\n\n\n<p><strong>Use this guide if you:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Sell physical products and need COGS to appear on your Profit &amp; Loss report<\/li>\n\n\n\n<li>Want to control how Synder names or creates products in your accounting platform<\/li>\n\n\n\n<li>Need to prevent duplicate items from appearing in your accounting platform<\/li>\n\n\n\n<li>Want to use product mapping to route transactions to existing items<\/li>\n<\/ul>\n\n\n\n<p><strong>This guide does not cover:<\/strong> Synder Summary sync and inventory management inside your accounting platform itself, or product setup inside your sales platform (Shopify, Amazon, etc.).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"how-synder-handles-products\">How Synder Handles Products<\/h2>\n\n\n\n<p>Every time Synder syncs a transaction, it needs to assign each line item to a product or service in your accounting platform. The process works in three steps:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step-1-synder-looks-for-an-existing-match-66863f12-2f5a-40b2-ab46-eee9acd3c694\">Step 1 \u2014 Synder looks for an existing match<\/h3>\n\n\n\n<p>Synder searches your accounting platform for an existing product using the <strong>name or SKU<\/strong> from the transaction. The match must be exact \u2014 spacing, capitalisation, and special characters all count. <\/p>\n\n\n\n<p><em>You can configure whether Synder searches by name or SKU first \u2014 see the <a href=\"https:\/\/synder.com\/help\/transaction-can-not-be-synchronized-without-product-or-service\/\">Product Search Priority<\/a> setting.<\/em><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step-2-if-a-match-is-found-d167c655-5554-4be0-8e98-f210ddaf0944\">Step 2 \u2014 If a match is found<\/h3>\n\n\n\n<p>Synder assigns the transaction to that existing product. Revenue is posted to the income account linked to that product in your accounting platform. If the product is an <strong>Inventory item<\/strong>, your accounting platform automatically calculates and posts COGS \u2014 no extra configuration needed in Synder.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step-3-if-no-match-is-found-b8c6826c-aa88-4d98-bb1e-102eae2c1352\">Step 3 \u2014 If no match is found<\/h3>\n\n\n\n<p>Synder&#8217;s behavior depends on your settings:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Create a new product<\/strong> \u2014 Synder creates the item in your accounting platform using the type and accounts you configure<\/li>\n\n\n\n<li><strong>Cancel the transaction<\/strong> \u2014 Synder does not sync until the product issue is resolved<\/li>\n\n\n\n<li><strong>Apply a product mapping rule<\/strong> \u2014 Synder reroutes the transaction to a product you have pre-mapped<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"product-name-settings\">Product Name Settings<\/h2>\n\n\n\n<p>In <strong>Settings \u2192 Products\/Services<\/strong>, you choose how Synder records the product name for each transaction. This choice determines whether COGS tracking is possible.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"option-1-use-a-common-product-name-a76ab722-5ee4-491e-b75e-bd2c0ec95cbe\">Option 1: Use a Common Product Name<\/h3>\n\n\n\n<p>All transactions from this integration are posted to a single generic item in your accounting platform \u2014 for example, &#8220;Shopify Sales&#8221; or &#8220;Stripe Product&#8221;. Use this when you do not need item-level reporting.<\/p>\n\n\n\n<p><strong>Important:<\/strong> The common product name option does not support COGS tracking. This is Synder&#8217;s default. You do not need to manually pre-create every product in your accounting platform; Synder handles that for you.<\/p>\n\n\n\n<p>For full details on accounts, setup steps, and what COGS looks like in your accounting platform, see the <a href=\"#inventory-and-cogs\">Inventory Items and COGS section<\/a> below.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"preventing-new-products\">Preventing Synder from Creating New Products<\/h2>\n\n\n\n<p>If you want strict control over what appears in your accounting platform&#8217;s product list, enable <strong>&#8220;If the matching product is NOT found \u2014 Cancel synchronization&#8221;<\/strong> in your settings.<\/p>\n\n\n\n<p>When this is on, any transaction that references a product not found in your accounting platform will be <strong>canceled<\/strong> rather than synced. Find the transaction with <strong>Failed<\/strong> status, then click <strong>Explain<\/strong> to view the error log. When turned on, Synder logs the names of all unmatched products into the Product Mapping page, where you can map them to existing items in your accounting platform instead of creating new ones.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"product-mapping\">Product Mapping<\/h2>\n\n\n\n<p>Product mapping lets you manually route a product name from your sales platform to a specific existing product in your accounting platform \u2014 without relying on exact name matching. This section explains how that works and how to set it up through Synder.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"how-cogs-works-7cc4b72b-dc82-4004-a78f-483e522daf37\">How COGS works<\/h3>\n\n\n\n<p>When a product is set as an <strong>Inventory item<\/strong>, your accounting platform calculates COGS automatically. Each time a sale is recorded, it deducts the cost from your Inventory Asset account and posts it to your COGS account on the P&amp;L.<\/p>\n\n\n\n<p><strong>Synder does not calculate COGS \u2014 your accounting platform does.<\/strong> Synder&#8217;s job is to match or create the product and record the sale. The cost calculation happens automatically in your accounting platform.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"how-synder-creates-inventory-items-cff2639c-fc36-4065-8048-f1c921ef2b4c\">How Synder creates inventory items<\/h3>\n\n\n\n<p>You do not need to pre-create every product in your accounting platform manually. Synder can create inventory items for you:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to <strong>Settings \u2192 [Your Integration] \u2192 Products\/Services<\/strong><\/li>\n\n\n\n<li>Select <strong>Use original product name and SKU<\/strong><\/li>\n\n\n\n<li>Under <strong>Assign product type<\/strong>, select <strong>Inventory<\/strong><\/li>\n\n\n\n<li>Configure the required accounts (see below)<\/li>\n<\/ol>\n\n\n\n<p>When Synder encounters a product that doesn&#8217;t exist in your accounting platform yet, it will create it as an inventory item using the accounts you specified. Set this to a date on or before your earliest Synder transaction.<\/li>\n<\/ul>\n\n\n\n<div class=\"wp-block-group has-pale-cyan-blue-background-color has-background\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<p>\u26a0\ufe0f <strong>Inventory start date matters.<\/strong> If you are enabling COGS for the first time on an existing account, set the start date to when you began using Synder. Transactions dated before this date will show a sync error or post without COGS.<\/p>\n<\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"what-cogs-looks-like-in-your-accounting-platform-1d351866-1d10-47c9-83cf-e468583c9b4f\">What COGS looks like in your accounting platform<\/h3>\n\n\n\n<p>Once inventory items are configured, each synced sale automatically triggers a COGS entry. Contact Synder support if you need help planning a backfill for a large account.<\/p>\n<\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"integrationspecific-notes-83bac1ac-7a5e-4693-ae0e-32886359736f\">Integration-specific notes<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Shopify:<\/strong> Product variants (size, color, etc.) each create a separate item in your accounting platform by default, since they have separate SKUs. If you have many variants, consider using <a href=\"https:\/\/synder.com\/help\/product-mapping-feature\/\">Product Mapping<\/a> to consolidate them into fewer items.<\/li>\n\n\n\n<li><strong>Amazon:<\/strong> COGS is supported. See the <a href=\"https:\/\/synder.com\/help\/customize-your-synder-amazon-settings-quickbooks-online\/\">Amazon QBO settings guide<\/a> for inventory configuration.<\/li>\n\n\n\n<li><strong>TikTok:<\/strong> COGS is supported. See the <a href=\"https:\/\/synder.com\/help\/customize-your-synder-tiktok-settings-quickbooks-online\/\">TikTok QBO settings guide<\/a> for details on discount and split seller mapping that affects COGS.<\/li>\n\n\n\n<li><strong>Stripe:<\/strong> Product names can be parsed from the description field if no explicit product name exists \u2014 enable <strong>&#8220;Parse product from description&#8221;<\/strong> in settings. Note: Synder can only parse one product per description field.<\/li>\n\n\n\n<li><strong>Square, PayPal:<\/strong> COGS follows the same inventory item logic. Ensure product names in your platform exactly match your accounting platform item names for correct matching.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"common-issues\">Common Issues and Fixes<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>COGS is missing from P&amp;L<\/strong> \u2014 The product is a Non-inventory or Service item. Change Assign product type to Inventory in Synder settings, or convert the existing item to Inventory type in your accounting platform.<\/li>\n\n\n\n<li><strong>Duplicate products appearing in your accounting platform<\/strong> \u2014 A name mismatch between your sales platform and your accounting platform (e.g., capitalisation difference or extra space). Use <a href=\"https:\/\/synder.com\/help\/product-mapping-feature\/\">Product Mapping<\/a> to map the platform name to the correct item in your accounting platform, or standardise the names.<\/li>\n\n\n\n<li><strong>Transaction canceled \/ failed status<\/strong> \u2014 Cancel sync is enabled and the product name from the platform doesn&#8217;t match any item in your accounting platform. Check the error in Platform Transactions \u2192 Explain for the specific missing product name.<\/li>\n\n\n\n<li><strong>COGS appears as $0 or missing on some transactions<\/strong> \u2014 The inventory start date is set after the transaction date. Open the item in your accounting platform \u2192 Edit \u2192 adjust the start date. Then re-sync the affected transactions.<\/li>\n\n\n\n<li><strong>Transactions fail after enabling inventory type<\/strong> \u2014 The inventory start date may not be set correctly.
