It reads the tax information your payment platform sends, and then records it in your accounting software. If your platform doesn&#8217;t carry tax on a transaction, Synder has nothing to pass through.<\/p>\n\n\n\n<p>However, if your payment platform sends no tax data \u2014 for example, Stripe without Stripe Tax \u2014 there are custom solutions Synder can implement to handle this. These are covered in the sections below.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"pertransaction-mode-7d4f886c-8bbc-44cc-bca1-8fe01352c098\">Per-Transaction Mode<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"the-apply-taxes-setting-b413e66c-1d4f-4b0f-a522-1f3ac0daf5d2\">The Apply Taxes Setting<\/h3>\n\n\n\n<p>The core tax setting in Per-Transaction mode is <strong>Apply Taxes<\/strong>, found under <strong>Settings \u2192 [Your Integration] \u2192 Taxes<\/strong>.<\/p>\n\n\n\n<p>This toggle controls how tax amounts are recorded in QuickBooks:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Apply Taxes ON<\/strong> \u2014 Tax posts to the dedicated tax field in the transaction. QuickBooks recognises it as tax and includes it in tax reporting.<\/li>\n\n\n\n<li><strong>Apply Taxes OFF<\/strong> \u2014 Tax posts as a plain line item on the transaction. The amount is still recorded, but it will not appear in tax reports.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2019\/05\/image-4-1024x442.png\" alt=\"Apply Taxes setting in Synder integration taxes tab\"\/><\/figure>\n\n\n\n<p><strong>Note:<\/strong> Synder automatically detects whether the transaction is Tax Inclusive or Tax Exclusive based on the original transaction data \u2014 this is not something you configure in Synder settings, but can be adjusted with Smart Rules.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"qbo-us-what-you-will-see-c71220bb-ab25-4106-822c-28ea6328a117\">QuickBooks Online US: What You Will See<\/h3>\n\n\n\n<p>If your QuickBooks Online company is set up for the United States, the Taxes page in Synder will show only the <strong>Apply Taxes<\/strong> toggle. No additional tax settings appear.<\/p>\n\n\n\n<p>This is by design: QuickBooks Online (US) uses its built-in <strong>Automated Sales Tax (AST)<\/strong> engine, which calculates the correct tax rate based on customer location, shipping address, and item taxability. Synder&#8217;s job is simply to mark line items as taxable or non-taxable \u2014 QuickBooks Online does the rest. You do not need to configure tax codes or rates in Synder.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"qbo-nonus-additional-settings-e7f46bc9-29e4-4910-9d6d-f08bc9beaab4\">QuickBooks Online Non-US: Additional Settings<\/h3>\n\n\n\n<p>If your QuickBooks company is outside the US (Canada, UK, Australia, New Zealand, EU, etc.), enabling <strong>Apply Taxes<\/strong> reveals additional settings:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2019\/05\/image-3-1024x484.png\" alt=\"QuickBooks Online non-US additional tax settings after enabling Apply Taxes\"\/><\/figure>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"default-tax-code-b0d045e0-bce7-4587-866d-1591f21324e5\">Default Tax Code<\/h4>\n\n\n\n<p>Acts as a fallback when Synder cannot find a matching tax rate in your QuickBooks. For example, if your payment platform sends 8.25% tax but no 8.25% code exists in QuickBooks Online, the transaction would normally fail. With a Default Tax Code set, Synder applies this fallback code and the transaction syncs successfully.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"zerorated-tax-code-7ecf12c9-5b9b-4d6f-881e-7c06fb7887d3\">Zero-Rated Tax Code<\/h4>\n\n\n\n<p>Applied automatically when the tax amount on a transaction equals $0. This lets Synder record the transaction with the correct tax classification (e.g. Exempt or Zero-Rated) rather than leaving the tax field blank.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"generic-tax-code-6ec9635d-db17-4d34-a19c-62e18f7804e0\">Generic Tax Code<\/h4>\n\n\n\n<p>Lets you apply a specific tax code based on conditions rather than relying on matching the rate from your payment platform. There are three uses:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Apply if a transaction contains taxes<\/strong> \u2014 Synder ignores the tax rate from your payment platform and applies your chosen code instead. Useful when your platform&#8217;s tax calculation is incorrect or you want to standardise to a single code.<\/li>\n\n\n\n<li><strong>Apply if a transaction does NOT contain taxes<\/strong> \u2014 Synder applies a tax code only to transactions that arrive with no tax. This is the key setting when your payment platform sends no tax data at all (see the section below).<\/li>\n\n\n\n<li><strong>Apply to shipping amount if the transaction contains shipping<\/strong> \u2014 Applies a specific tax code to the shipping line when shipping is present on the transaction.<\/li>\n<\/ol>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"taxes-on-expenses-fb069511-0297-4833-8cee-6624d2e5dee2\">Taxes on Expenses<\/h4>\n\n\n\n<p>Some jurisdictions require businesses to account for tax on payment processor fees. This setting lets you apply a tax code to fees recorded as expenses in QuickBooks. The Default, Zero-Rated, and Generic Tax Code options are all available here.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"summary-sync-6ef8b85b-5f00-4b7d-be7f-b8ee9d0f02df\">Summary Sync<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"qbo-us-setting-up-tax-mapping-0b7d760f-b99d-409d-b070-51c4bc9038c7\">QuickBooks Online US: Setting Up Tax Mapping<\/h3>\n\n\n\n<p>QuickBooks Online (US) does not allow tax codes in journal entries. Synder posts tax amounts directly to the liability accounts you specify in your mappings.<\/p>\n\n\n\n<p>Once you have transactions with tax syncing through, a <strong>Taxes Payable<\/strong> line will appear in your <strong>Mapping \u2192 Mappings list<\/strong>. Map this line to the appropriate Sales Tax Payable liability account in QuickBooks.<\/p>\n\n\n\n<p><strong>Important:<\/strong> Do not map to system-generated tax liability accounts (e.g. accounts created by QuickBooks Online&#8217;s own tax centre). Use a plain Sales Tax Payable liability account instead \u2014 mapping to system accounts will cause sync failures.<\/p>\n\n\n\n<p><strong>Changes only apply to newly generated summaries.<\/strong> After updating your mapping, rebuild existing summaries. See <a href=\"https:\/\/synder.com\/help\/how-to-rebuild-summaries\/\">How to Rebuild Summaries<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"qbo-nonus-setting-up-taxmapping-f8fe2e4b-ad9c-4489-a557-4966fd4f910f\">QuickBooks Online Non-US: Setting Up TaxMapping<\/h3>\n\n\n\n<p>For non-US QuickBooks companies, tax codes can be applied to journal entries. To set this up:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to <strong>Settings \u2192 Mapping<\/strong> and scroll down to <strong>Tax codes<\/strong>.<\/li>\n\n\n\n<li>Enable tax codes and assign a default <strong>zero-rated tax code<\/strong> \u2014 this is required for all non-tax lines (shipping, discounts, fees, etc.)<\/li>\n\n\n\n<li>Open <strong>Mapping \u2192 Mappings list<\/strong>. You will now see an extra field on your summary lines where you can select a tax code for them.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/image-23-1024x631.png\" alt=\"Tax codes section enabled in Settings Mapping with zero-rated code assigned\"\/><\/figure>\n\n\n\n<ol start=\"3\" class=\"wp-block-list\">\n<li>Assign the zero-rated tax code to all other (non-tax) mapping lines, or rely on the default zero-rated code set in Settings.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/image-26-1024x477.png\" alt=\"Mappings list with Taxes Payable line mapped to clearing account\"\/><\/figure>\n\n\n\n<ol start=\"5\" class=\"wp-block-list\">\n<li>Assign a dedicated tax code to your tax payable lines.<\/li>\n\n\n\n<li>Save and rebuild existing summaries.<\/li>\n<\/ol>\n\n\n\n<p>Once set up, for each tax amount in your transactions Synder creates:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>A <strong>taxable sales amount line<\/strong> with the mapped tax code applied<\/li>\n\n\n\n<li>An <strong>offsetting zero-rated line<\/strong> to balance the entry<\/li>\n<\/ol>\n\n\n\n<p>This ensures taxable revenue is reported correctly and tax appears in QuickBooks Online&#8217;s tax reports without overstating income.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"key-limitations-eb485610-9586-428b-abae-3acf44ed44b3\">Key Limitations<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Tax codes must exist first.<\/strong> Synder pulls tax codes directly from QuickBooks. If the code you need doesn&#8217;t exist there, create it in QuickBooks Online before trying to use it in Synder.<\/li>\n\n\n\n<li><strong>Matching is by percentage only (Per Transaction).<\/strong> Synder matches tax codes by rate \u2014 not by name or jurisdiction. If two codes share the same rate, Synder applies the one that sorts first alphabetically. Use Smart Rules to override this if needed.<\/li>\n\n\n\n<li><strong>Do not use system-generated tax accounts for the Taxes Payable mapping.<\/strong> Accounts like &#8220;GST\/HST Payable&#8221; are created by QuickBooks Online&#8217;s own tax centre and do not accept tax codes from journal entries. Use a plain liability account instead.<\/li>\n\n\n\n<li><strong>Synder cannot increase the transaction total<\/strong> <strong>(Per Transaction)<\/strong>. When tax is applied, it is extracted from the existing amount, not added on top. A transaction of $100 with 20% tax becomes $80 net + $20 tax = $100 total. The income portion decreases; the total stays the same.<\/li>\n\n\n\n<li><strong>Tax codes on expenses are not supported in Summary Sync.<\/strong> To account for tax on fees, either do it manually or switch to Per-Transaction mode for that integration. See <a href=\"https:\/\/synder.com\/help\/apply-tax-on-fees-or-expenses\/\">How Synder Handles Taxes on Fees<\/a>.<\/li>\n\n\n\n<li>If you collect <strong>Taxes outside of the US<\/strong> while using <strong>QuickBooks Online US<\/strong>, all the collected taxes outside of the country <strong>will fall into an Out of Scope tax liability account.<\/strong><\/li>\n<\/ul>\n\n\n\n<p><em>Please Note: If a limitation you are facing is not included here, please reach out to our <a href=\"https:\/\/synder.com\/contact\/\">support team<\/a> to discuss options for Custom Development that are available for any custom solutions starting from the Pro plan.<\/em><\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"handling-multiple-tax-rates-from-different-regions-db9535aa-66e6-46b4-9192-8f93507cef9e\">Handling Multiple Tax Rates From Different Regions<\/h2>\n\n\n\n<p>If you sell to customers in different states, countries, or regions with different tax rates, you need a way to route each transaction to the correct tax code and account.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"summary-sync-group-by-region-03efb880-1854-4912-bc25-ed29968746ce\">Summary Sync: Group by Region<\/h3>\n\n\n\n<p>Group by Region automatically splits your summary entries by the customer&#8217;s country or region, giving you a separate <strong>Taxes Payable<\/strong> mapping line for each, so you can assign the correct tax code and liability account to each region independently.<\/p>\n\n\n\n<p><strong>Note:<\/strong> Enabling Group by Region splits <em>all<\/em> mapping lines by region \u2014 not just taxes. Sales, refunds, and shipping income lines will also be split.<\/p>\n\n\n\n<p><strong>To set it up:<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to <strong>Mapping \u2192 Mappings list<\/strong> and click <strong>Add group<\/strong>.<\/li>\n\n\n\n<li>Select <strong>&#8220;Break down by product, SKU, or region&#8221;<\/strong>. This will take you directly to mapping settings.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2026\/06\/synder-grouping-step1-dropdown-v3.png\" alt=\"Synder Mappings list Add group dropdown with Break down by product SKU or region highlighted\"\/><\/figure>\n\n\n\n<ol start=\"3\" class=\"wp-block-list\">\n<li>Enable <strong>Group by region<\/strong>.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2026\/06\/synder-grouping-step2-settings-v3.png\" alt=\"Synder Settings Mapping Grouping settings with Group by region toggle enabled\"\/><\/figure>\n\n\n\n<p><\/p>\n\n\n\n<ol start=\"4\" class=\"wp-block-list\">\n<li>Return to <strong>Mapping \u2192 Mappings list<\/strong> \u2014 you will now see a separate Taxes Payable line for each region. Assign the correct tax code and account to each.<\/li>\n\n\n\n<li>Save and rebuild existing summaries.<\/li>\n<\/ol>\n\n\n\n<p>\n\n<strong>Unknown and N\/A entries:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Unknown<\/strong> \u2014 the transaction arrived without usable location data. Use Manual Groups (see below) to handle these.<\/li>\n\n\n\n<li><strong>N\/A<\/strong> \u2014 no shipping or billing address was present (common for subscription renewals). Assign to your default tax account.<\/li>\n<\/ul>\n\n\n\n<p><strong>Need more granular control?<\/strong> Use Manual Groups alongside Group by Region \u2014 for example, to split by city, customer, or ZIP code. Go to <strong>Mapping \u2192 Groups \u2192 Add group<\/strong>, set Type to Manual, define your conditions, and select <strong>Taxes Payable<\/strong> as the accounting category. Manual groups take priority; Group by Region handles everything that doesn&#8217;t match.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2024\/10\/image-1-1024x547.png\" alt=\"Manual group creation form showing conditions and accounting category fields\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"pertransaction-smart-rules-bcb6a486-a81d-4372-b1ee-9e90963134e5\">Per-Transaction: Smart Rules<\/h3>\n\n\n\n<p>Smart Rules (Recipes) let you route tax by shipping location automatically \u2014 no custom development required.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Enable <strong>Apply Taxes<\/strong> in your integration settings.<\/li>\n\n\n\n<li>Go to <strong>Smart Rules \u2192 Recipes<\/strong> and find <strong>&#8220;Set NON US Tax in Sales Receipt&#8221;<\/strong> or <strong>&#8220;Set Non US Tax in Invoice&#8221;<\/strong> \u2014 enable both if you use both transaction types.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/image-67.png\" alt=\"Smart Rules Recipes page in Synder showing available recipe templates\"\/><\/figure>\n\n\n\n<ol start=\"3\" class=\"wp-block-list\">\n<li>Click <strong>Try it out<\/strong> to open the recipe builder.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/image-64.png\" alt=\"Set NON US Tax in Sales Receipt recipe card\"\/><\/figure>\n\n\n\n<ol start=\"4\" class=\"wp-block-list\">\n<li>In the <strong>IF<\/strong> block: set <strong>Shipping Address \u2192 Region \u2192 Contains \u2192 [region name or abbreviation]<\/strong>.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/image-65-1024x704.png\" alt=\"Smart Rules IF block with Shipping Address Region Contains condition configured\"\/><\/figure>\n\n\n\n<ol start=\"5\" class=\"wp-block-list\">\n<li>In the <strong>THEN<\/strong> block: select <strong>Set QuickBooks Online entity data \u2192 Tax \u2192 [your tax code]<\/strong>.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/image-66-1024x767.png\" alt=\"Smart Rules THEN block with Set QuickBooks Online entity data option\"\/><\/figure>\n\n\n\n<ol start=\"6\" class=\"wp-block-list\">\n<li>Add additional IF\/THEN blocks for each region you sell to.<\/li>\n\n\n\n<li>Click <strong>Save &amp; Close Rule<\/strong>.<\/li>\n<\/ol>\n\n\n\n<p>Rule order matters \u2014 Synder applies the first matching condition. Arrange rules from most specific to least specific. See <a href=\"https:\/\/synder.com\/help\/apply-sales-taxes-based-on-location-canada\/\">How to Apply Non-US Sales Tax Based on Shipping Location Using Recipes<\/a> for a full walkthrough.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"when-your-payment-platform-sends-no-tax-data-ba45c3c0-0a26-425e-95c6-e280b9db3228\">When Your Payment Platform Sends No Tax Data<\/h2>\n\n\n\n<p>If your payment platform doesn&#8217;t include tax in transaction data \u2014 for example, Stripe without Stripe Tax, or certain PayPal setups \u2014 Synder has nothing to record. This is the most common reason tax is missing from your books after syncing.<\/p>\n\n\n\n<p><strong>Summary Sync:<\/strong> Group by Region can only route tax that already exists in transactions. If no tax data is coming through, a Pro plan where <strong>custom modifications<\/strong> are available is required. Contact Synder support to arrange this. Any future changes to your setup will require the modification to be updated.<\/p>\n\n\n\n<p><strong>Per-Transaction:<\/strong> Tax inclusive transactions without taxes cannot sync to your books. It will cause the sync to fail. <\/p>\n\n\n\n<p>Use the <strong>Default Tax<\/strong> setting to apply a blanket tax code to all transactions without a tax. This will make sure that all transactions sync through without failures. If you also need to route different tax codes based on region, follow the same <strong>Smart Rules (Recipes)<\/strong> setup described in the <strong>Per-Transaction: Smart Rules<\/strong> section above.<\/p>\n\n\n\n<p>To apply actual tax rates to transactions, you can utilise <strong>Smart Rules. <\/strong>If you are planning to apply tax to every sales transaction according to locations, utilize a region\/address based condition on the rule and select a desired tax code for each of the locations. You can also utilize recipes inside the Smart Rules menu. There is a dedicated Tax template for region-based tax applying to Canadian users.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"
