Unlike most platforms, Faire pays out each order individually, which means you\u2019ll see many small payouts instead of consolidated transfers. Since Faire\u2019s API does not currently provide payout data, these payouts can\u2019t be synced directly. This guide explains how to reconcile Faire transactions in your accounting software (QuickBooks Online, Xero, Oracle NetSuite, etc.) using Synder and Faire reports.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-1-export-reports-for-comparison-5468ad24-ae2b-46a9-b87a-19b431161ef2\"><strong>Step 1: Export reports for comparison<\/strong><\/h2>\n\n\n\n<p>You\u2019ll need reports from both Faire and your accounting software.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>From Faire:<\/strong>\n<ul class=\"wp-block-list\">\n<li>Go to <strong>Faire \u2192 Orders \u2192 Payouts \u2192 Export.<\/strong><\/li>\n\n\n\n<li>Select your desired time range.<\/li>\n\n\n\n<li>Download the report (including order numbers and payout amounts).<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>From your accounting software:<\/strong>\n<ul class=\"wp-block-list\">\n<li>Open the <strong>Faire Clearing Account, located <\/strong>in the chart of accounts and the balance sheet (this is where Synder posts sales\/fees).<\/li>\n\n\n\n<li>Filter for the same period as your Faire report.<\/li>\n\n\n\n<li>Export the detailed account register.<br><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-2-prepare-the-data-for-comparison-53c0a429-2355-4e46-a0e1-4bf1729337f1\"><strong>Step 2: Prepare the data for comparison<\/strong><\/h2>\n\n\n\n<p>When Synder syncs Faire sales and fee transactions, it adds a <strong>\u201cbo_\u201d prefix<\/strong> to the order ID in the payment\/expense records. To align these IDs with the Faire report:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the accounting export in Excel.<\/li>\n\n\n\n<li>Use <strong>Find &amp; Replace<\/strong> to remove the \u201cbo_\u201d prefix.<\/li>\n\n\n\n<li>Group any duplicate order IDs into a single line by total amount (Excel \u2192 Data \u2192 Consolidate).<br><\/li>\n<\/ol>\n\n\n\n<p>Now you can compare totals by order ID between the Faire report and the accounting report.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Faire report column<\/strong>: <em>Payout Amount<\/em><\/li>\n\n\n\n<li><strong>Accounting report column<\/strong>: Synced payment\/expense totals after consolidation<br><br><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-3-understand-the-dates-provided-by-faire-16312030-9f6d-4313-a390-4ee9949d0b41\"><strong>Step 3: Understand the dates provided by Faire<\/strong><\/h2>\n\n\n\n<p>Faire provides three dates per order:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Order date<\/strong> \u2013 When the order was placed (used by Synder to create invoices).<\/li>\n\n\n\n<li><strong>Payment date<\/strong> \u2013 When Faire receives payment from the customer.<\/li>\n\n\n\n<li><strong>Payout date<\/strong> \u2013 When Faire transfers funds to your bank account.<br><\/li>\n<\/ol>\n\n\n\n<p>\u26a0\ufe0f The Faire Payout report only includes the <strong>order date<\/strong> and <strong>payout date<\/strong>. It does not include the payment date.<\/p>\n\n\n\n<p>\ud83d\udc49 In Synder, you can choose whether to record sales, payment, and fee transactions on the <strong>payment date<\/strong> or the <strong>payout date<\/strong>, depending on which works best for your reconciliation process. This flexibility makes it easier to align reports.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-4-reconciling-faire-with-synder-5531b568-226d-4352-ba02-75cca97d0bc2\"><strong>Step 4: Reconciling Faire with Synder<\/strong><\/h2>\n\n\n\n<p>To keep your clearing account accurate and make reconciliation straightforward, here\u2019s how syncing and reconciliation work in Synder:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Syncing in Synder<\/strong>\n<ul class=\"wp-block-list\">\n<li>Invoices are created on the <strong>order date<\/strong>.<\/li>\n\n\n\n<li>Payments and fees are posted to the <strong>Faire clearing account<\/strong> on either the <strong>payment date<\/strong> or <strong>payout date<\/strong> based on your chosen settings. We recommend using the payout date in Synder to simplify the reconciliation process.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<p>\u26a0\ufe0f <strong>Important note on fees vs. payments<\/strong><strong><br><\/strong>Before September 18, 2025, Synder synced <strong>fees on the order date<\/strong> while <strong>payments <\/strong>were synced<strong> on the payment date<\/strong>. As a result, older transactions may not reconcile properly due to mismatched dates.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If you notice discrepancies for older data, we recommend rolling back and re-syncing the affected transactions so that both payments and fees align under the <strong>payment date<\/strong>.<br><\/li>\n<\/ul>\n\n\n\n<ol start=\"2\" class=\"wp-block-list\">\n<li><strong>Bank feed rules<\/strong><strong><br><\/strong>\n<ul class=\"wp-block-list\">\n<li>Since payouts are not available via Faire\u2019s API, you\u2019ll need to handle them through your bank feed.<\/li>\n\n\n\n<li>Set up a rule in your accounting software so that bank deposits from Faire clear against the Faire clearing account.<\/li>\n\n\n\n<li>See our <a href=\"https:\/\/synder.com\/help\/how-to-reconcile-integrations-without-payout-support-in-synder\/\">separate guide on creating bank feed rules<\/a> for step-by-step instructions.<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Result<\/strong>\n<ul class=\"wp-block-list\">\n<li>Orders flow into the clearing account via Synder.<\/li>\n\n\n\n<li>Payouts reduce the clearing account through your bank feed.<\/li>\n\n\n\n<li>The clearing account balance stays close to <strong>zero<\/strong>, confirming that transactions and payouts are fully reconciled.<br><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-5-comparison-verification-806cd4dc-f1d5-4107-982a-db61ef990f80\"><strong>Step 5: Comparison &amp; verification<\/strong><\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Use your prepared Excel comparison (Step 2) to ensure each Faire payout matches the corresponding accounting entry.<\/li>\n\n\n\n<li>Discrepancies typically arise from timing issues (e.g., partially processed transactions) or manual adjustments in Faire.<br><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"important-considerations-3b9a7530-8117-4c50-9df7-cd6fed646a71\"><strong>Important considerations<\/strong><\/h2>\n\n\n\n<p>We\u2019ve touched on these points before, but they\u2019re critical for accurate reconciliation:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Invoices<\/strong> are always synced on the <strong>order date<\/strong>.<\/li>\n\n\n\n<li><strong>Payments &amp; fees<\/strong> can be posted on either the <strong>payment date<\/strong> or <strong>payout date<\/strong> (selectable in Synder).<\/li>\n\n\n\n<li><strong>Reports from Faire only contain the payout date,<\/strong> therefore comparing data between your books and Faire can be challenging.
