With this report, you can compare your <strong>QuickBooks Online Deferred Revenue account<\/strong> with <strong>Synder Revenue Recognition (RevRec)<\/strong>. Please visit <a href=\"https:\/\/synder.com\/help\/synder-deferred-revenue-reconciliation-report-summary-sync\/\">this guide<\/a> for the Summary reconciliation option for Revenue Recognition.<strong><br><\/strong><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"how-to-validate-your-results-d560f301-fe4b-4cf4-b45d-6d1ab57f04c3\"><strong>How to validate your results<\/strong><\/h2>\n\n\n\n<p>Once you\u2019ve reviewed the Deferred Revenue Reconciliation Report, you should be able to clearly determine whether your revenue recognition data is aligned between Synder RevRec and QuickBooks Online.&nbsp;<\/p>\n\n\n\n<p>After using this report, you can:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Confirm that Deferred Revenue in QuickBooks matches RevRec<\/li>\n\n\n\n<li>See <strong>exact transactions<\/strong> causing differences<\/li>\n\n\n\n<li>Complete month-end reconciliation with confidence<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"prerequisites-2b4d783a-6b06-4562-8388-3b8e6376ad40\"><strong>Prerequisites<\/strong><\/h2>\n\n\n\n<p>Before running the Deferred Revenue Reconciliation Report, make sure your setup reflects how the report is designed to work. The current month may appear in the report, but do not use it to validate balances. This is because Synder generates and syncs revenue recognition journal entries to QuickBooks Online only after the month closes. As a result, current-month totals will not match RevRec until then.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step-4-review-differences-de3e312f-17b0-4900-934b-c2525d9b601c\"><strong>Step 4: Review differences<\/strong><\/h3>\n\n\n\n<p>For every month, you\u2019ll see three columns for your deferred revenue reconciliation:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Column<\/strong><\/td><td><strong>Description<\/strong><\/td><\/tr><tr><td>Accounting &#8211; &lt;selected account name&gt;&nbsp;<\/td><td>Selected account balance from your QuickBooks balance sheet by month<\/td><\/tr><tr><td>RevRec &#8211; deferred revenue ending balance<\/td><td>Synder RevRec ending balance of deferred revenue by month<\/td><\/tr><tr><td>Difference<\/td><td>The delta between the two balances<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>Clicking the difference takes you to the <strong>detailed comparison view<\/strong> of your revenue. This opens a line-by-line comparison.<strong><br><\/strong><\/p>\n\n\n\n<p>You\u2019ll see two tabs:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Matched<\/strong><\/li>\n<\/ol>\n\n\n\n<p>This tab lists all lines that are perfectly aligned. Each line shares the same ID and the same amount.<\/p>\n\n\n\n<p><strong><em>Note:<\/em><\/strong><em> <\/em>if multiple lines share the same ID, Synder collapses them into a single line and sums up the amounts.<\/p>\n\n\n\n<ol start=\"2\" class=\"wp-block-list\">\n<li><strong>Not matched (default view)<\/strong><\/li>\n<\/ol>\n\n\n\n<p>This tab shows:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Lines with the same ID but mismatched amounts<\/li>\n\n\n\n<li>Lines missing from either Synder or the accounting software<\/li>\n\n\n\n<li>Lines requiring review (e.g., amount differences, missing IDs)<br><\/li>\n<\/ul>\n\n\n\n<p>This view helps you pinpoint exactly which transactions do not align. You can copy the IDs or Numbers to find the records in QuickBooks Online and RevRec. Here is how to maintain it over time.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"refreshing-the-report-5dd04a74-2197-4ffd-b4fb-554184704ffb\"><strong>Refreshing the report<\/strong><\/h3>\n\n\n\n<p>Synder refreshes the report automatically on the 5th of each month. However, you can also trigger a manual refresh:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>From a specific date, or<\/li>\n\n\n\n<li>From the RevRec start date<br><\/li>\n<\/ul>\n\n\n\n<p>Large refreshes may take extra time. Synder sends you an email once the refresh is complete.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"outdated-status-704d15ff-92cc-421f-90fe-7a4adad7a890\"><strong>Outdated status<\/strong><\/h2>\n\n\n\n<p>Synder checks the balance sheet and revenue recognition numbers every 24 hours.<\/p>\n\n\n\n<p>If either the balance sheet data or RevRec data changes, the report shows an <strong>Outdated<\/strong> status. In that case, manually refresh the report starting from the first outdated period. This updates the numbers and restores accurate matching.<\/p>\n\n\n\n<p><br><strong>Downloading source files<\/strong><\/p>\n\n\n\n<p>At any time, you can export the raw reports used in the reconciliation. Synder sends them directly to your email address. The available files include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>RevRec Incoming Revenue (Itemized)<\/li>\n\n\n\n<li>RevRec Recognized Revenue by Entry<\/li>\n\n\n\n<li>QuickBooks export from the selected Deferred Revenue account<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"292\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-1024x292.png\" alt=\"\" class=\"wp-image-25532\" srcset=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-1024x292.png 1024w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-300x86.png 300w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-768x219.png 768w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-1536x438.png 1536w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-1080x308.png 1080w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-60x17.png 60w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2-150x43.png 150w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2025\/03\/image-2.png 1600w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"reconciliation-statuses-74f5fc68-dee7-4b59-9aab-e60ab798be0b\"><strong>Reconciliation statuses<\/strong><\/h2>\n\n\n\n<p>Each month, the report will display one of the following:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Status<\/strong><\/td><td><strong>Meaning<\/strong><\/td><\/tr><tr><td>Matched<\/td><td>The app matched all transactions by transaction number and totals.<\/td><\/tr><tr><td>Partially matched<\/td><td>The app matched some transactions, but some are not matched.<\/td><\/tr><tr><td>Not matched<\/td><td>No matching transactions were found at all.<\/td><\/tr><tr><td>Retrieving data<\/td><td>Synder is fetching Balance Sheet numbers and reports for comparison from RevRec and from accounting.<\/td><\/tr><tr><td>Comparing data<\/td><td>Synder is comparing the reports received from accounting and from RevRec module.<\/td><\/tr><tr><td>Failed<\/td><td>Synder couldn\u2019t retrieve or process the data.<\/td><\/tr><tr><td>Outdated<\/td><td>Figures in the Balance Sheet or in RevRec reports changed \u2013 refresh is required.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"limitations-known-constraints-ad98c392-eb89-4cdb-9c24-e69cd9b0040c\"><strong>Limitations &amp; known constraints<\/strong><\/h2>\n\n\n\n<p>Several setup constraints can affect how the report behaves. Review the scenarios below to understand when results may not align. Each section also explains how to fix the issue.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"if-quickbooks-doc-numbers-are-enabled-6ddcbaf4-a036-4d33-b9e4-3bdd092e12c9\"><strong>If QuickBooks Doc Numbers are enabled<\/strong><\/h3>\n\n\n\n<p>When QuickBooks Online document numbers are enabled, transaction-level matching may fail. This happens because QuickBooks Online replaces Synder transaction numbers. As a result, ID-based matching becomes impossible.<\/p>\n\n\n\n<p><strong>How to fix:<\/strong><strong><br><\/strong>Disable <strong>Doc Numbers<\/strong> in QuickBooks so Synder IDs remain intact.<\/p>\n\n\n\n<p><strong>What still works:<\/strong><strong><br><\/strong> ou can still compare <strong>monthly totals<\/strong>, but not line-by-line matching.<\/p>\n\n\n\n<p><br><strong>If invoices were uploaded to RevRec via Excel and not synced<\/strong><\/p>\n\n\n\n<p>In this case, totals will not match. RevRec includes these invoices, but they do not exist in the Deferred Revenue account in QuickBooks Online.<\/p>\n\n\n\n<p><strong>How to fix:<\/strong><strong><br><\/strong>Ensure those invoices hit the Deferred Revenue account with <strong>matching IDs<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"if-you-use-multiple-deferred-revenue-accounts-5019b234-f6b0-47cf-9ee2-d85b2e893c81\"><strong>If you use multiple Deferred Revenue accounts<\/strong><\/h3>\n\n\n\n<p>The report supports only a single Deferred Revenue account. If you use multiple accounts, the report will not reconcile correctly.<strong> How to fix:<\/strong><strong><br><\/strong>Create a <strong>parent Deferred Revenue account<\/strong> and make all others sub-accounts.
