{"id":19680,"date":"2023-05-18T13:42:45","date_gmt":"2023-05-18T13:42:45","guid":{"rendered":"https:\/\/synder.com\/help\/?p=19680"},"modified":"2026-03-30T15:44:48","modified_gmt":"2026-03-30T15:44:48","slug":"how-to-effortlessly-reconcile-shopify-daily-journal-entries-in-quickbooks","status":"publish","type":"post","link":"https:\/\/synder.com\/help\/how-to-effortlessly-reconcile-shopify-daily-journal-entries-in-quickbooks\/","title":{"rendered":"Summary Sync: How to effortlessly reconcile Shopify Journal Entries in QuickBooks?"},"content":{"rendered":"\n<p>Efficiently managing and reconciling sales transactions is vital for any business, especially when it comes to the seamless integration of e-commerce platforms like Shopify with accounting software such as QuickBooks Online.<\/p>\n\n\n\n<p>In this article, we\u2019ll focus on the process of reconciling Shopify sales paid via Shopify Payments and PayPal in QuickBooks Online, though you can apply the same flow to any set of payment gateways you use with Shopify.&nbsp;<\/p>\n\n\n\n<p><strong>Overview:<\/strong><\/p>\n\n\n\n<ol><li><a href=\"#1\">Matching Journal Entry total to reports in Shopify<\/a><\/li><li><a href=\"#2\">Matching Profit and Loss to Shopify reports<\/a><\/li><li><a href=\"#3\">Reconciling Journal Entries in QuickBooks<\/a><\/li><li><a href=\"#4\">Why my summary totals don\u2019t match to Shopify?<\/a><\/li><\/ol>\n\n\n\n<h2 id=\"1\">Matching Journal Entry total to reports in Shopify<\/strong><\/h2>\n\n\n\n<p>Once you are onboarded to Synder and connect all the platforms, you\u2019ll see the list of summaries representing a few of the latest days of the Shopify sales.\u00a0<\/p>\n\n\n\n<p>In our example, with Shopify sales and Payments coming through PayPal and Shopify Payments gateways, you\u2019ll be able to see 2 summaries per day:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>One summary for the Shopify Payments\/Shopify cash (manual) transactions<\/li>\n\n\n\n<li>One summary for the orders paid via PayPal<\/li>\n<\/ul>\n\n\n\n<p>You\u2019ll see the Journal Entry totals, that should reflect the amount of the earned money (refunds, fees should already be excluded from this amount). This example uses Synder\u2019s default mapping, so it posted all PayPal sales to one account and all Shopify payments sales to the other one. You can set the mapping the way you need and <a href=\"https:\/\/synder.com\/help\/daily-summary-map-classes-for-a-more-detailed-reporting\/\">use classes<\/a> to see details per platform in your Profit and Loss.<\/p>\n\n\n\n<p>To see your P&amp;L in QuickBooks, go to <strong>Reports<\/strong> \u2192<strong> Profit and Loss<\/strong>, select the date needed and click \u201cRun\u201d (in our example it is 30, April 2023).<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"746\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416414077-1-1024x746.jpg\" alt=\"\" class=\"wp-image-19684\" srcset=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416414077-1-1024x746.jpg 1024w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416414077-1-300x219.jpg 300w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416414077-1-768x560.jpg 768w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416414077-1-60x44.jpg 60w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416414077-1-150x109.jpg 150w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416414077-1.jpg 1094w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>The total income in the Profit and Loss will equal \u201cTotal sales\u201d minus \u201cTaxes\u201d from the Finances summary Shopify report, which is $11367.6 = $11528.38 &#8211; $169.78.<\/p>\n\n\n\n<p>Note that the taxes are in the Balance sheet, not in Profit and Loss.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"432\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526-1024x432.jpg\" alt=\"\" class=\"wp-image-19685\" srcset=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526-1024x432.jpg 1024w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526-300x126.jpg 300w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526-768x324.jpg 768w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526-1536x648.jpg 1536w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526-60x25.jpg 60w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526-150x63.jpg 150w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416435526.jpg 1888w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>The \u201cGross sales\u201d from the Shopify report equals the sum of the Shopify and PayPal sales from Profit and Loss: $14012.64 = $9772 + $4240.64<br>This way, you\u2019ll always be able to see how Synder is updating your PandL.<\/p>\n\n\n\n<h2 id=\"3\">Reconciling Journal Entries in QuickBooks<\/strong><\/h2>\n\n\n\n<p>Once the Journal Entries are synced to the books, the clearing account balances will rise. Synder uses a clearing account per platform to make it easier to reconcile. If your Shopify has manual orders or Shopify POS, the orders will be broken down into separate categories as well, so you may have several clearing accounts per Shopify.<br>The account that will represent all the online sales will be cleared out automatically, as Synder synchronizes Payouts (money transfers from your payment processor to your bank) and posts them to your books, debiting the Clearing and crediting Checking account. So if the payout for April 30 happens on May 4, then it\u2019ll be on May 4 that the clearing account balance will go down, and the checking account balance will go up.<br>You\u2019ll be able to match synced payout amounts under the bank feed and reconcile in one click as pictured below:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"460\" src=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008-1024x460.jpg\" alt=\"\" class=\"wp-image-19686\" srcset=\"https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008-1024x460.jpg 1024w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008-300x135.jpg 300w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008-768x345.jpg 768w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008-1536x690.jpg 1536w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008-60x27.jpg 60w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008-150x67.jpg 150w, https:\/\/synder.com\/help\/wp-content\/uploads\/sites\/2\/2023\/05\/1684416470008.jpg 1779w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>The only thing you\u2019ll have to do to reconcile synced summaries to the books is to click \u201cMatch\u201d under your bank feed.<\/p>\n\n\n\n<h2 id=\"4\">Why my summary totals don\u2019t match to Shopify?<\/strong><\/h2>\n\n\n\n<p>There are several reasons why Journal Entry totals may not match the totals from the payment processor reports. Below are the most common reasons and solutions:<\/p>\n\n\n\n<p><strong>A summary is \u201cPartially fetched\u201d\/<strong>\u201c<\/strong>Partially synced\u201d<\/strong><br>Issue:<br>The \u201cPartially fetched\u201d status means that some transactions for the day weren\u2019t imported successfully. If you click \u201cSee details\u201d for a summary with such a status, you\u2019ll be able to see that some transactions are pending, which means that the app is still processing them and the total won\u2019t match.<br>Solution:<br>Wait for the app to finish processing your day (some platforms like Amazon won\u2019t approve their fees for up to 2 weeks, so this process can take a long time), or address the support team to double-check the reasons for the partly fetched status.<\/p>\n\n\n\n<p><strong>Multi currency enabled<\/strong><br>Issue:<br>If you enable multicurrency in Synder, this means that a summary for one day will have several Journal Entries (each in its own currency), so the total will show the combined amount for all summaries (converted to your home currency).<br>Solution:<br>A way out here is to run reports per currency for both the payment processor and in the books (you can map currencies to different clearing accounts) and reconcile clearing accounts currency by currency.<\/p>\n\n\n\n<p><strong>Other reasons<\/strong><br>In all other cases, it\u2019s recommended to turn to the support team, attaching the screenshots with the totals from the payment processor you were matching amounts to.
